Emails

IMPORTANT: This page is regularly parsed by osedev.org to get email templates for various automated mailings. Please edit very careful and do not change any of the section headings.

The following variables may be used in any of the emails.

Variable	Description
[username]	Username of the recipient.
[firstname]	First name of the recipient.
[lastname]	Last name of the recipient.
[name]	Combination of [firstname] [lastname].
[email]	Email of the recipient.
[position]	Name of the main position (or completed position) currently held by the user, for example: "OSE Developer" or "HR Generalist".
[last-log-date]	Date of the last time this user recorded a log.
[1-week-hours-total]	Total hours recorded over previous 7 days. The number is configurable, for example [4-week-hours-total] will produce total over last 28 days.
[1-week-hours-average]	Total hours over specified number of weeks divided by the number of weeks. The number is configurable just like for [1-week-hours-total].

New Registration

Hi [firstname],

Sent immediately after user signs-up at osedev.org along with a separate "email verification" email. It should welcome the user and explain the process of applying for the various positions at OSE.

Sent after a few weeks if user has not finished the application; to see if they are having problems.

Sent when user has been approved as official OSE Developer.

Sent when user application has been rejected.

Initial Reminder

Hi [firstname],

Sent to tell user to log their work hours. This is the initial (only sent once) friendly reminder.

Week Reminder

Hi [firstname],

Sent when user has not logged hours for more than 7 days (sent on the 8th day).

The last time you reported hours was [last-log-date].

Sent if a person is below 6.5 hours per week.

You have [1-week-hours-total] hours logged this week which is below the 6.5 hours minimum.

Sent if a person's 4 week average is trending below 6.5.

You have averaged [4-week-hours-average] hours logged over last 4 weeks which is below the 6.5 hours minimum.

Suspension

Sent after user has not logged hours or not logged enough hours after 4 weeks to notify them that their OSE Developer status has been suspended.

You have averaged [4-week-hours-average] hours logged over last 4 weeks which is below the 6.5 hours minimum as a result your OSE Developer status is scheduled to be suspended.

Sent when user has successfully completed their 90 day OSE Developer cycle.

Congratulations on completing the 90 OSE Developer cycle and thanks for all your hard work! You worked [12-week-hours-total] over the last 12 weeks.
