Basics

This is a procedure for organizing OSE speaking events, to be performed by an Admin Assistant.

The admin assistant:

  1. Prepares a contract based on information provided by speaker
  2. Organizes travel if Client cannot book travel
  3. Follows up with client
  4. Organizes any addition events before or after speaking engagement, such as a workshop.

Time to fill out contract - 30 minutes. Time to negotiate - can vary.



Procedure

  • To prepare a contract, send the Speaker Contract Form to the client using the OSE operations email, ops@opensourceecology.org. See the sample Admin Email for Speaking Engagements.
  • Review client's answers (linked below the Speaker Contract Form), and fill out a copy of the Speaker Contract to send to the client. Include the hiring entity name is in the title, and share that document with marcin@opensourceecology.org with edit privileges
  • Send contract for a signature to the Client and negotiate any outstanding issues.
  • Remove edit access by Client after Client signs.
  • Email a PDF copy of contract to Client.
  • Log your time in Admin Log. Make sure you include a link to the speaker contract in your log entry.
