Basics
This is a procedure for organizing OSE speaking events, to be performed by an Admin Assistant.
The admin assistant:
- Prepares a contract based on information provided by speaker
- Organizes travel if Client cannot book travel
- Follows up with client
- Organizes any addition events before or after speaking engagement, such as a workshop.
Time to fill out contract - 30 minutes. Time to negotiate - can vary.
Procedure
- To prepare a contract, send the Speaker Contract Form to the client using the OSE operations email, ops@opensourceecology.org. See the sample Admin Email for Speaking Engagements.
- Review client's answers (linked below the Speaker Contract Form), and fill out a copy of the Speaker Contract to send to the client. Include the hiring entity name is in the title, and share that document with marcin@opensourceecology.org with edit privileges
- Send contract for a signature to the Client and negotiate any outstanding issues.
- Remove edit access by Client after Client signs.
- Email a PDF copy of contract to Client.
- Log your time in Admin Log. Make sure you include a link to the speaker contract in your log entry.
